Every lead that hit Leadium’s website had to make a stop first: Calendly. A middleman sitting between the prospect and the CRM, for no reason other than “that’s how it’s set up.”
Kevin Warner noticed. Then he noticed the same thing everywhere else: Salesforce for the data here, HubSpot for deal management there, Make duct-taping it all together.
Today, all four are gone, and a prospect’s whole journey with Leadium runs inside Apollo. Here’s how Kevin got there.
Leadium is an outbound agency that stays small on purpose: $3M to $5M in revenue, capped at 35 to 40 clients. Kevin, the founder, would rather run a tight shop than a big one.
But his stack didn’t match that discipline. Salesforce held the database. HubSpot managed deals. Calendly ran direct bookings and the inbound website funnel. Make stitched the workflows together. Four systems, one lead, and a lot of handoffs in between.
Calendly was the worst of it. Every inbound lead passed through a scheduler before it ever reached the CRM.
Kevin was well aware that most people still think of Apollo as a prospecting database. “I think a lot of people still pigeonhole Apollo as a data tool. Understandable, it was unlimited data at an unbeatable price for years.”
But Leadium was tracking something else. “Every quarter, Apollo was quietly replacing another piece of our stack.”
So Kevin didn’t plan a big-bang migration. Each time Apollo shipped a native version of something, he moved that piece over and retired the tool it replaced.
Swapping tools was only half of it. Wherever a native feature stopped short, Kevin built what was missing.
Follow-ups were the clearest example. After a call, Leadium’s drafts were manual or generic: the same email whether it was a discovery call or a contract review. So Kevin designed his own workflow. It pulled the transcript from Conversations and drafted a follow-up matched to the call. A discovery call got one email, a contract review got another.
That was the pattern behind the whole consolidation: rebuild the plumbing instead of accepting the default. Do that enough quarters in a row and you stop having a stack. You have a system.
Here’s what happens when a prospect lands on Leadium’s site today:
They fill out an Apollo-connected meeting form. The contact is enriched natively the moment it comes in and lands in Apollo, which replaced Salesforce as the database. No connector required.
Apollo workflows score and route the lead. That’s the work HubSpot’s deal pipeline and Make used to do.
They book on Apollo Meetings. It replaced Calendly for both direct bookings and the inbound funnel, so leads stay inside Apollo.
Conversations records and summarizes the call. Email opens and repeat site visits are tracked through the rest of the deal.
As Kevin puts it: “Today, a prospect lives inside Apollo for 100% of their lifetime with us.”
Kevin runs the same setup for his clients. All of them are on Apollo under a single contract that Leadium provisions and supports, and the stack is part of Leadium’s pitch.
- Kevin Warner, Found & CEO
When prospects ask why Leadium is more affordable than competing agencies, part of the answer is the stack. Competitors still carry hard costs Leadium has already cut.
The headline result at Leadium isn't a single percentage, it's the shape of the stack itself: four separate tools collapsed into one platform that now runs the entire client lifecycle.

Kevin’s playbook for consolidating a live client base without breaking anything comes down to four habits.
Asked what he’d tell another agency founder considering the same move, Kevin doesn’t hedge:
“Apollo is the closest thing to a full go-to-market operating system I’ve seen.”
