Apollo.io AI Policy: Sales Intelligence Platform Guidelines

Disclosure of AI Models, Third-Party Providers, and AI Integrations

At Apollo.io, we are committed to providing our users with a powerful platform for sales and marketing outreach. Two of our core company values include be customer obsessed and move with focus and urgency. The exciting breakthroughs in artificial intelligence (AI) mean we are updating our products and features to include the most advanced and cutting edge technologies to help our users prospect more efficiently, and prospect better. This policy addresses AI used within Apollo’s product and platform features. It does not cover Apollo’s internal or employee use of AI tools, which is governed by separate internal policy.

As part of these commitments, we may leverage AI across our platform: (1) our own internally developed AI models, (2) third-party providers integrated into Apollo’s features, and (3) Apollo’s AI integration layer, which allows customers to connect Apollo to their preferred external AI tools. This page explains each layer and the data practices that apply.

You remain responsible for determining whether your use of AI results in any “significant decision” and for your own compliance obligations as a deployer or controller.

1. Apollo’s Internally Developed AI Models

Apollo develops and operates its own proprietary machine learning models to power certain product features. These models are trained and run on Apollo’s infrastructure and are not shared with third parties. Apollo may use Customer Data (as defined in Apollo’s Terms of Service) and its proprietary data as inputs to train these internal models to provide more accurate and relevant recommendations.

Customer Data used by Apollo’s internal models remains within Apollo’s controlled infrastructure and is subject to Apollo’s standard data protection commitments, including those described in Apollo’s Privacy Policy and Terms of Service.

2. Third-Party AI Providers

Apollo may use Customer Data as inputs to machine learning models from third-party AI providers to power specific platform features. Apollo will never share Customer Data with third-party providers for the purposes of algorithm training or model enhancement without first disclosing it to customers and obtaining customer consent.

For Customer Data sent to third-party AI providers as part of Apollo’s product features, the following commitments apply:

Any third-party AI platforms used in Apollo's features that process Customer Data will be disclosed in the sub-processor list found in our Trust Center
Customer Data that is sent to third-party AI providers will be deleted from those platforms within 30 days.
We regularly review and update our policies and procedures to ensure compliance with applicable data protection regulations and industry best practices.

Current Third-Party AI Providers

This list covers only third-party AI providers that process Customer Data as part of Apollo’s platform features. This list is updated as Apollo’s integrations change.

OpenAI: OpenAI is an artificial intelligence research organization that provides machine learning and natural language processing technologies. We use OpenAI's technologies to improve our platform's functionality, including but not limited to features like automated email personalization, insight generation, and other email messaging purposes.
Anthropic: Anthropic is an artificial intelligence public benefit company that provides machine learning and natural language processing technologies. We use Anthropic's technologies (in conjunction with OpenAI) to improve our platform's functionality, including but not limited to features like automated email personalization, insight generation, scoring and other email messaging purposes.
Gemini: Gemini is artificial intelligence technology provided by Google. As such, Customer Data does not leave Apollo’s Google Cloud instance (where all Customer Data is hosted) in connection with Apollo’s use of the Gemini technology. We use Gemini to improve our platform’s functionality, including insight generation and responses to customer questions.
Perplexity: Perplexity is an artificial intelligence technology that provides machine learning and natural language processing capabilities. We use Perplexity’s technologies to improve our platform’s functionality, including but not limited to optimizing our AI features for each customer, like prospect research, insight generation, and responses to customer questions.
Assembly AI: Assembly AI is an artificial intelligence technology that transcribes audio content into text. We use Assembly AI’s models to improve our platform’s functionality, including but not limited to features like transcription.
Exa: Exa is an artificial intelligence technology that provides web search capabilities. We use Exa’s models to improve our platform’s functionality, including but not limited to AI research and prospecting.

3. Apollo AI Integrations (Customer Third-Party Systems)

Apollo provides an AI integration layer that allows customers to connect Apollo to external AI tools of their choice—such as Claude, ChatGPT, Perplexity, Cursor, and others—using Apollo’s Model Context Protocol (MCP) server and native connectors. These connections allow Apollo data and actions (such as searching for prospects, enriching records, building sequences, and analyzing performance) to be accessed and executed from within a customer’s preferred AI environment.

Data Practices for Customer Third-Party AI Integrations

Because customers select and control the external AI tools they connect to Apollo, the following applies:

Data usage and retention at the AI tool layer is governed by that tool’s own privacy policy and terms. Apollo does not control, and makes no representations about, how third-party AI tools process or retain data passed through a customer-configured integration.
Customers are responsible for reviewing and complying with the data practices of any AI tool they connect to Apollo, even if Apollo facilitates the connection, including any obligations under applicable data protection law.
Apollo does not use data flowing through customer-configured AI integrations for Apollo’s own model training or algorithm improvement.
Customers must not permit Apollo data accessed through AI Integrations to be used to train, fine-tune, or otherwise improve the models of any third-party AI provider. Before connecting any AI Integration, customers must disable any model training or model improvement settings on the applicable third-party AI platform. Customers are responsible for confirming these settings remain disabled for the duration of their use.

4. AI Transparency

Apollo is committed to making AI usage clear and trustworthy. Whenever you are interacting with a feature that uses AI within the Apollo platform, or whenever you see AI-powered output, Apollo shows a distinctive purple star icon, signaling that you are interacting with an AI-powered feature.

AI-generated outputs (such as content, scores, and recommendations) are assistive. You remain in control and may review, edit, override, or disregard any AI-generated output at your discretion. AI-generated content and insights may contain inaccuracies. You should review AI-generated output before relying on it or acting on it.
